The role

With TreeStory entering its seventh year, we have a fantastic opportunity for a highly organised and proactive Personal Assistant to support our Co-Founders Gordon Brown (CEO) and Sonia Brown (COO). This role is central to enabling the CEO & COO to focus on strategy and vision by removing administrative friction and anticipating needs across the business.

The tasks assigned to the PA will vary week to week, depending on the CEO’s & COO’s priorities and the needs of the business. The role is measured on efficiency, accuracy, confidentiality, flexibility, and positivity.  You will also use the Full Focus framework to structure your work and the wider team’s priorities, and rely on Asana to capture, delegate, track, and report on tasks.

This is an ideal role for an administrative professional with experience supporting C-level executives, who thrives in a dynamic, purpose-driven start-up environment, and has a personal connection to environmental sustainability.

Key responsibilities
  • Manage internal and external communications, including email, on behalf of the CEO and COO
  • Maintain complex calendars, coordinate appointments, and schedule meetings efficiently for both executives
  • Provide administrative support for meetings, including preparing agendas, printing materials, arranging hospitality, taking notes, and distributing action items
  • Coordinate travel and accommodation arrangements for the CEO and COO
  • Assist both executives in capturing, delegating, chasing, and closing tasks in Asana
  • Undertake research projects, prepare reports, and test new work systems as requested
  • Provide additional administrative support to the wider team during busy periods
  • Proofread, edit, and design documents using internal templates
  • Prepare expense submissions on behalf of the CEO and COO
  • Support the executives during site visits, including outdoor meetings where hands-on involvement may be required
  • Provide general support to the wider TreeStory team, especially with booking accommodation and travel and assisting the support team with administrative cover during absences and holidays
What we’re looking for
  • Strong alignment with TreeStory’s purpose and values, with a passion for positive environmental impact and the B-Corp ethos
  • Exceptional written and verbal communication skills, including spelling, grammar, and punctuation, with a keen eye for detail
  • Ability to process and summarise large amounts of information quickly and clearly
  • Highly organised and systematic, able to bring order to complex schedules and manage competing priorities for two executives
  • Proactive and forward-thinking, anticipating needs and removing administrative friction wherever possible
  • Comfortable learning and using new technologies, including Microsoft Office Suite, Slack and Asana
  • Minimum of 2 years’ experience supporting C-level executives
  • Ideally university educated in environmental sciences, business management, English, or a related discipline
  • Positive, adaptable, and collaborative, contributing to a supportive and high-performing team environment
